The Digital Age

For many of our clients we offer a variety of ways to communicate. Three years ago, while our firm grew and we acquired more clients living outside of Huntsville, we began implementing a digital meeting platform.  This was also a key part of our disaster recovery and contingency plans in the event our office could no longer be accessed.  Our systems had to meet the strictest security protocols that our clients and our broker dealer expect.  With the ever changing COVID-19 situation we have seen many more people opting in for the digital approach to meetings.

 For our meetings and webinars, we use GoToMeeting for its security and ease of use. With an email invitation from our rep, clients can join, share information, and discuss in a safe and contained environment. With suitable devices connected to a client’s PC they would be able to discuss and join in one quick click. For those who do not have a suitable device or even prefer the option to dial in themselves GoToMeeting also offers a way to call into the meeting with a phone number and provided access code.

 While this software provides a convenience in these times there are a few user related issues that can be easily mitigated. The first is ensuring you have enabled audio devices for GoToMeeting or other software. Using the browser version of GoToMeeting and joining the meeting will have your browser prompt you to allow GoToMeeting to access your webcam and microphone. Ensuring that the browser can access these devices eliminates the first cause of problems with digital meetings: Undetected Devices. The second cause relates to audio drivers for new devices and the easiest way to avoid this problem is to set up the new device prior to the meeting. This ensures the best quality and function. There are a variety of other specific issues that can be easily fixed with a step by step walk through over the phone. 

The world has changed for the time being and many people are taking advantage of the technology available to work remotely.  If you can or are required to work from home, or you are attending the many webinars, it is important that you do so safe and secure.
